How to Develop an Effective QMS Using ISO-9001

Using "systems thinking" as a basic premise, the following steps are suggested for developing a quality management system (QMS) to meet ISO-9001:2000 requirements.

We suggest that you begin to develop your QMS using your existing processes as much as possible.  Minimizing unnecessary changes at the start will allow you to focus on the system in total, rather than its parts.

 

Step 1 - Make the commitment

  • Know what you are trying to achieve (goals and priorities)

  • Determine the scope of your QMS

  • Understand what "customer satisfaction" means to you

  • Develop and communicate your Quality Policy

   

Step 2 - Plan the system

  • Understand your QMS processes and responsibilities

  • Determine and provide resources and infrastructure needed

  • Determine and document QMS procedures and related responsibilities

  • Determine your quality objectives and how these will be achieved (including timing and responsibilities)

   

Step 3 - Control your processes

  • Identify your "realization" processes (i.e. how you provide products / services) 

  • Determine how you will control your processes (address key characteristics, customer requirements and your objectives)

  • Determine and implement document control and recordkeeping requirements

   

Step 5 - Train and communicate

  • Hold QMS awareness communication and training sessions

  • Identify and conduct competency training needed (keep records)

   

Step 6 - Monitor performance

  • Monitor progress in achieving objectives (and make any corrections needed)

  • Monitor key product / service characteristics (keep records)

  • Monitor customer satisfaction (you decide what is important)

 

 

Step 7 - Assess and improve QMS performance

  • Conduct internal QMS audits and correct / prevent nonconformances

  • Review QMS suitability, adequacy and effectiveness (Management Review)

  • Look for ways to improve the system
